This privacy notice provides more detailed information about how we at Prima Pet Premium Oy collect, store and use the personal data of visitors to our website, parties who contact us, and newsletter subscribers. Personal Data Processed, Purpose of Processing and Legal Basis

The personal data we process can be categorized according to your relationship with us.

If you are a visitor to our website, we collect the following mandatory information:

We collect personal data directly from you. The information is used to handle the matter relating to your contact request and to communicate with you or the organization you represent. In addition, the information may be used for business planning and development and for the training of customer service personnel.

Processing is based on our legitimate interest in conducting our business and maintaining and managing customer relationships.

If you subscribe to our newsletter, we collect the following information:

  • Name
  • Email address

We collect personal data directly from you when you subscribe to the newsletter. Processing relating to the newsletter is based on your consent, which you may withdraw at any time by clicking the unsubscribe link found at the bottom of the newsletter.

We use personal data to deliver the newsletter and the marketing materials included in it to you. If you do not provide the personal data required for newsletter subscription, we cannot provide the newsletter to you.

If you participate in a competition organized by us, we may collect the following information:

  • Name
  • Contact details (telephone number, address, email address)
  • Any other information required for a particular competition (for example, information about your pets or a photograph) and information provided by you in connection with your participation

We collect personal data directly from you when you participate in a competition. The information is processed for the implementation of the competition, and the processing is based on your consent.

If you do not provide the personal data required for participation, you cannot participate in the relevant competition.

Legal Bases for Processing Personal Data

The processing of personal data is based on the legal grounds set out in Article 6 of the EU General Data Protection Regulation (GDPR) as follows:

  • Legitimate interest (Article 6(1)(f)): customer service, business development, data analytics, necessary cookies
  • Consent (Article 6(1)(a)): newsletters, competitions, non-essential cookies
  • Legal obligation (Article 6(1)(c)): compliance with accounting and tax legislation

Retention of Personal Data

Website Visitors. Website cookie personalization, advertising, analytics and statistical data is retained for 12 months. After this period, personal data is automatically deleted.

Contacts, Complaints, Feedback and Satisfaction Guarantee. Information submitted through contact forms or other contact channels is retained for 24 months for the purposes of handling the inquiry and possible statistical analysis, after which the data is deleted or non-identifiable data is anonymized.

Newsletters. Personal data relating to newsletter subscriptions is retained for as long as the data subject remains subscribed to the newsletter.

Competitions. For consumer competitions and prize draws, personal data is retained for 6 months after the completion of the competition or draw, after which the data is deleted.

In addition to the retention periods mentioned above, we may retain personal data for longer periods to the extent necessary for responding to and defending against legal claims, or where required by applicable legislation. Such extended retention is based on a legal obligation under Article 6(1)(c) GDPR or our legitimate interest under Article 6(1)(f) GDPR in defending our rights.

Personal data collected through contact, complaint, satisfaction guarantee and reseller forms is stored on the servers of the service provider Zendesk located within the EU. We may also use other subcontractors for certain personal data processing activities. Such subcontractors include:

  • IT service providers
  • Marketing service providers
  • Payment service providers
  • Cloud service and data analytics providers
  • Outsourced customer service partners

We are responsible for the actions of our subcontractors as for our own and ensure that subcontractors process personal data only for the purposes set out in this privacy notice and in accordance with our instructions and applicable legislation.

We may disclose and/or transfer personal data to other parties only for justified purposes and in accordance with applicable data protection legislation.

In addition, information may be disclosed to third parties in anonymized form so that individual users cannot be identified, in which case the information is no longer personal data.

Due to the technical implementation of data processing, some personal data may be physically located on servers outside the European Union. All transfers are carried out in accordance with applicable data protection legislation, for example by relying on adequacy decisions issued by the European Commission or standard contractual clauses approved by the European Commission, together with supplementary safeguards where necessary.

Automated Decision-Making and Profiling

We do not make automated decisions based on your personal data that would produce legal effects concerning you or otherwise similarly significantly affect you. Our data analytics activities do not involve automated decision-making within the meaning of Article 22 GDPR.

Principles for Securing the Register

Prima Pet processes personal data in a manner intended to ensure appropriate security of personal data, including protection against unauthorized processing and accidental loss, destruction or damage.

We use appropriate technical and organizational security measures generally accepted in the industry. Information systems and files are protected using technical security methods commonly used in business operations. Information is stored within systems located behind firewall-protected areas and secured by usernames and passwords.

Access rights to the register require a username and password and are granted only to personnel of Prima Pet or our processors whose duties and responsibilities require such access.

Inspection, Rectification and Other Rights of Data Subjects

Upon providing the information necessary to locate the relevant information, the data subject has the right to know what information concerning them has been stored in this register or to receive confirmation that no such information exists. The data subject also has the right to receive a copy of such information.

In addition, the data subject has the right to request the correction of inaccurate information in the register, request the deletion of personal data in certain situations, request restriction of processing, or object to processing. Under certain conditions, the data subject also has the right to data portability.

Where processing is based on consent, the data subject has the right to withdraw consent at any time. For the avoidance of doubt, withdrawal does not affect the lawfulness of processing carried out before the withdrawal.
